Overview and Goals

Dear Kate,

We are very excited at the prospect of assisting you to build a professional online presence for your business. Please consider the proposal below for your business website design that is SEO conscious. Taking into consideration what I think you are looking for in a website I do suggest small web design package + basic shopping cart for enquiries only, as I feel this would best suit your needs.

Warmest Regards,

Adriana – SunCoast Media

Scope of Services

SunCoast Media takes a wholistic approach to design & development. We strive to understand your market, your audience and your core business drivers in-depth, so that we can correlate every design and engineering decision directly back to helping you achieve your business goals. We are huge believers in the power of collaboration. The more fluid our communications, the more powerfully we can achieve your goals. To deliver this outcome, our process has five stages:

01.

Research

We begin by performing a rigorous audit of your market space. Who is the core audience? What are their concerns and values?

The first step is we need to thoroughly understand your business, your business goals, your customers and their expectations and behaviour, and how your website factors into all of it.

We’ll also look at the competitive landscape to establish context and benchmarks for how your site should function and then improve on that. This stage will give us the foundation to move forward with the right recommendations for the design and development of your new responsive website.

02.

Prototyping & Design

Prototyping involves rapid & collaborative iteration on wireframe concepts, layouts & directions.

Once we’ve agreed on the finalised prototype we’ll create a high fidelity mockup of the final product with dummy text.

We’ll set to work outlining interface layouts, including the home page and the blog template (if applicable), and any additional page templates needed. Wireframes look like simple skeletons of your website without the visual polish of the finished design, allowing us to experiment and iterate on solutions quickly so that we have a good sense of how the content should be laid out across different screen sizes.

03.

Development

Once you’ve approved the design, we’ll start building them.

04.

WordPress Integration

After testing the static layouts. We will test the site across different browsers (Firefox, Chrome, Safari, Internet Explorer 9+) and devices (iPhone, Samsung ect.). Any bugs that arise during testing will be fixed prior to launch.

05.

Launch & Measure

Finally, we  go live to the world and measure the return on investment to you, with detailed analytics.

The launch process is a carefully considered one. We need to ensure email addresses don’t go down, the site doesn’t have any downtime, any old links are re-directed to the new pages and several other things.

This is something we’ve done hundreds of times before. We operate to a checklist which we’ve curated over the years and it is yet to fail us.

We always launch late on a Friday night to give us the best chance of ironing out any issues that arise.
You can sleep easy knowing We’ll be on-call over your launch weekend to ensure everything goes according to plan.

Content for the Website

SunCoast Media will layout the content and images provided as well as create every page that is required and agreed upon.

*Please note that content is to be provided by the client. We understand that this might not be your cup of tea. This is why we also provide a copy writing service and only engage professional copy writers.

We’ll create
your pages!

Homepage

Normally a solid call to action attracting email subscribers from which a slow burn relationship can be formed.

About

We suggest new team photos and action shots of people working.
These are great and far better than stock photos.

Case Studies

Listing clients are great, testimonials are better but giving it some context in a case study is considerably better.
A range of case studies will serve you for years to come.

Services

This should be split up into the primary reasons people buy your services, with labeled headers to match. For example ‘Bookkeeping’, ‘Tax Savings’ and ‘Audits’. Doing this means people can relate your headers to solutions for their problems in a fast and effective manner.

Call to Action

We’ll strategically place a contact form at the bottom of each page that makes sense.

Process

How do you work? What’s required of your clients? It’s worth detailing your process in advance

Pricing

It’s worth giving an indication of your pricing. This will typically reduce the number of enquiries but increase the quality of those enquiries markedly.

Resources

In this day and age, it’s vital to give away content and advice in advance in order to “win people over” and convince them you’re the right company for the job. Frequently asked questions from the kinds of clients you want more of is a great place to start when thinking about what content to produce.

Time Line

How long will the whole process take? There is a lot to take into consideration: Research, Wireframes, Sitemap design, Initial Designs, Design Revision, Design Approval, Coding, CMS & configuration, Testing & Debugging, Client Testing, Setup, and finally taking the website live!

We endeavour to have a home page template ready within 10-14 business days after receiving a brief from you. After that, if the content and images are supplied in a timely manner, we should have a website ready for final approval just 7 business days later!

Building stunning websites on the Sunshine Coast.

Dear Kate,

Thank you very much for considering SunCoast Media to be your website provider. We would be delighted to provide you with an outline of our services and we are looking forward to working with you on this project. With your requirements in mind I have pre-selected the core features I feel will best help you reach your goals. As every business is different however there might be other services that you feel would be beneficial to you, or that you may require in the future.

At the bottom of the form there is a calculation of the services you have chosen and it will outline the three payment options available.

We offer a 50% / 50% schedule in which you pay a deposit before work can commence and then a final payment before the website goes live. Or in an effort to assist small businesses with cash flow we offer a very convenient 12 month payment plan. All we ask is $600 deposit to kick start the project. If you have any questions before proceeding further please call us anytime to discuss.

Otherwise, if you’re happy to proceed just hit NEXT and add your name, company name and date at the bottom of this page, and we’ll send a payment schedule. Let’s start creating a stunning new website for your business.

Let’s Design a Web Package Specifically for You

Terms & Conditions

What do both parties agree to?
You: You have the authority to enter into this contract on behalf of yourself, your company or your organisation. You will provide us with the access and information required to complete the project. This will be done in a timely manner and in the formats we request. You will review the work, provide feedback and approval where necessary in a timely manner. Deadlines work both ways, so you’ll also be bound by dates we set together. You also agree to stick to the payment schedule set out at the end of this contract.

SunCoast Media Declaration: All work will be conducted in a professional and timely manner. We’ll endeavour to meet every deadline set and maintain confidentiality of everything you provide to us.

Getting Down To The Nitty Gritty
Design

We create look-and-feel designs, and flexible layouts that adapt to the capabilities of many devices and screen sizes. We create designs iteratively and use predominantly HTML and CSS so we won’t waste time mocking up every template as a static visual. We may use visuals to indicate a creative direction (colour, texture and typography.) We call that ‘atmosphere.’

You’ll have plenty of opportunities to review our work and provide feedback. We’ll either share a Dropbox, Google Drive folder or Github repository or development site with you and we’ll have regular contact.

If, at any stage, you change your mind about what you want to be delivered and are not happy with the direction our work is taking we’ll give you your money back unless the design has been signed off.

Text content

Unless agreed separately, we’re not responsible for inputting text or images into your content management system or creating every page on your website. We provide professional copywriting and editing services, so if you’d like us to create new content or input content for you, we can provide a separate estimate for this.

Graphics and photographs

You should supply graphic files in an editable, vector digital format. You should supply photographs in a high resolution digital format. If you choose to buy stock photographs, we can suggest stock libraries. If you’d like us to search for photographs for you, we can provide a separate estimate for this if required.

Browser testing

Browser testing no longer means attempting to make a website look the same in browsers of different capabilities or on devices with different size screens. It does mean ensuring that a person’s experience of a design should be appropriate to the capabilities of a browser or device.

We test our work in current versions of major desktop browsers including those made by Apple (Safari), Google (Chrome), Microsoft (Edge), Mozilla Firefox and Opera. We’ll also test to ensure that people who use Microsoft Internet Explorer 11 for Windows get an appropriate experience. We won’t test in other older browsers unless we agreed separately. If you need an enhanced design for an older browser, we can provide a separate estimate for that.

Mobile browser testing

Testing using popular smaller screen devices is essential in ensuring that a person’s experience of a design is appropriate to the capabilities of the device they’re using. We test our designs in: iOS 9, 10, 11: Safari, Google Chrome Android: Google Chrome on Android Emulator.

We won’t test in Blackberry, Opera Mini/Mobile, specific Android devices, Windows or other mobile browsers unless we agreed separately.

Technical support

We offer support for website hosting, email or other services relating to hosting.

Search Engine Optimisation (SEO)

We cannot guarantee any improvement to a search engine ranking, nor can we promise to get a site higher up or to the ‘top of Google’, but we build every site in a way that is accessible to search engines in an effort to increase its chances. We build each and every page following Google standards to increase your chances of showing up at the top of the Google search.

Note: SunCoast Media provides SEO Packages and this should be considered as soon as your website goes live. Please contact us directly for more information.

Changes and revisions

We don’t want to limit your ability to change your mind. The price at the beginning of this contract is based on the number of weeks that we estimate we’ll need to accomplish everything you’ve told us you want to achieve, but we am happy to be flexible. If you want to change your mind or add anything new, that won’t be a problem as we’ll provide a separate estimate for the additional work.

Legal stuff
I’ll carry out our work in accordance with good industry practice and at the standard expected from a suitably qualified person with relevant experience.

That said, I can’t guarantee that my work will be error-free and so I can’t be liable to you or any third-party for damages, including lost profits, lost savings or other incidental, consequential or special damages, even if you’ve advised me of them.

Your liability to SunCoast Media will also be limited to the number of fees payable under this contract and you won’t be liable to SunCoast Media or any third-party for damages, including lost profits, lost savings or other incidental, consequential or special damages, even if SunCoast Media advised you of them.

Finally, if any provision of this contract shall be unlawful, void, or for any reason unenforceable, then that provision shall be deemed severable from this contract and shall not affect the validity and enforceability of any remaining provisions.

Intellectual property rights

Just to be clear, “Intellectual property rights” means all patents, rights to inventions, copyright (including rights in software) and related rights, trademarks, service marks, get up and trade names, internet domain names, rights to goodwill or to sue for passing off, rights in designs, database rights, rights in confidential information (including know-how) and any other intellectual property rights, in each case whether registered or unregistered and including all applications (or rights to apply) for, and renewals or extensions of, such rights and all similar or equivalent rights or forms of protection which subsist or shall subsist now or in the future in any part of the world.

First, you guarantee that all elements of text, images or other artwork you provide are either owned by your good selves or that you’ve permission to use them. When you provide text, images or other artwork to me, you agree to protect us from any claim by a third party that we’re using their intellectual property.

SunCoast Media guarantee that all elements of the work I deliver to you are either owned by us or we’ve obtained permission to provide them to you. When SunCoast Media provide text, images or other artwork to you, we agree to protect you from any claim by a third party that you’re using their intellectual property. Provided you’ve paid for the work and that this contract hasn’t been terminated, SunCoast Media will assign all intellectual property rights to you as follows:

You’ll own the website SunCoast Media design for you plus the visual elements that SunCoast Media create for it. SunCoast Media give you source files and finished files and you should keep them somewhere safe as SunCoast Media is not required to keep a copy. You own all intellectual property rights of text, images, site specification and data you provided, unless someone else owns them.

SunCoast Media own any intellectual property rights developed prior to, or developed separately from this project and not paid for by you. SunCoast Media will own the unique combination of these elements that constitutes a complete design and will license its use to you, exclusively and in perpetuity for this project only, unless we agree otherwise.

Displaying our work

I love to show off my work, so I reserve the right to display all aspects of my creative work, including sketches, work-in-progress designs and the completed project on SunCoast Media portfolio and in articles on websites, in magazine articles and in books.

Payment schedule

I am sure you understand how important it is as a small business that you pay the invoices that SunCoast Media send you promptly.

Payment details

SunCoast Media issue invoices electronically. Payment terms are 7 days from the date of invoice by direct transfer. All proposals are quoted in Australian Dollars.

SunCoast Media reserves the right to charge interest on all overdue debts at the rate of 5% per month or part thereof.

But where’s all the horrible small print?

Just like a parking ticket, neither of us can transfer this contract to anyone else without the other’s permission.

We both agree that we’ll adhere to all relevant laws and regulations in relation to our activities under this contract and not cause the other to breach any relevant laws or regulations.

This contract stays in place and need not be renewed. If for some reason one part of this contract becomes invalid or unenforceable, the remaining parts of it remain in place.
